What we collect

Your account: your email address, display name, and optional avatar. Sign-in is by emailed magic link, so we never hold a password.

Your production material: the notes, documents, photos and voice memos you upload, and the outlines, storyboards, schedules and pre-pro books generated from them. Your material is yours. We don't sell it, publish it, or use it to market to anyone.

Billing: payments are handled by Stripe. We never see or store your card number; we keep your plan, credit balance, and a reference to your Stripe customer record.

Usage: basic service records like credit spend and daily generation counts, used for billing, abuse prevention, and support.

Early-access signups: your email address and, if you share it, your role. We only use it to reach out about access.

How generation works

Fieldnotes uses third-party AI services to do its work. Today that's Anthropic (Claude) for reading and structuring your documents, and Google (Gemini) for rendering storyboard frames. Relevant parts of your uploaded material are sent to those services to generate your results, under their API terms. We don't permit our providers to train on your content via these APIs.

Who processes your data

We run on a small set of services, each doing one job: Supabase (database, authentication, file storage), Netlify (hosting), Anthropic and Google (AI generation, above), Stripe (payments), and Unsplash (stock photography for area guides). Each receives only what it needs to do its job.

Characters and crew photos

If you upload photos of real people (your characters, your crew), you confirm you have the right to use them. They're used solely to render your production's storyboards and populate your pre-pro book. Nothing else.

Sharing your pre-pro book

A pre-pro book link is meant for your crew. A private book is visible only to you and members you invite; a book you flip to public is visible to anyone with the link. Share it like you would a call sheet. Deliberately.

Cookies & analytics

We use a session cookie to keep you signed in. The marketing site uses no tracking cookies today. If that changes, this page will say so plainly before it does.

Keeping and deleting your data

Your productions stay until you delete them. Deleting a production removes its material and outputs; deleting your account (in Settings) removes every production you own, your profile, and your files. Both are immediate and there is no undo. Residual copies leave our providers' backups on their standard cycles.

You can also write to us and we'll handle removal by hand. No hoops.

Security

Your data lives in access-controlled infrastructure with row-level security, encrypted in transit and at rest by our providers. No system is perfect; if we ever learn of a breach affecting your data, we'll tell you promptly and plainly.

Children

Fieldnotes is a professional tool and isn't directed at children under 16.

Terms of service

Your account. You need a valid email address and must be able to enter a contract. You're responsible for what happens under your account; keep your sign-in email secure.

Your content. You keep all rights to the material you upload and to the outputs generated for your production. You give us the limited license needed to store and process that material to run the service for you, and nothing more. Don't upload material you don't have the right to use.

Plans, credits and refunds. Paid plans bill through Stripe monthly or annually and can be canceled anytime; you keep access through the period you've paid for. Monthly frame credits reset each cycle and don't roll over; purchased top-up credits don't expire. Credits have no cash value and aren't refundable once spent. If something on our end eats your credits, write to us and we'll make it right.

Fair use. Don't use Fieldnotes to break the law, harm people, generate deceptive depictions of real people without their consent, probe or overload the service, or resell access. Rate limits exist so one production can't crowd out another.

The service. Fieldnotes is provided as-is and evolves quickly; features may change. AI output is a draft for professional review, so check anything you rely on (addresses, forecasts, safety details) before the shoot. To the extent the law allows, our liability is limited to the amount you've paid us in the twelve months before a claim.

Ending things. You can delete your account anytime. We can suspend accounts that break these terms, and we'll say why.

Changes. We may update this page as the product matures; meaningful changes will be flagged by email before they take effect.
